    Allied Minds is seeking an experienced Executive Assistant operating at the highest level, reporting to the CEO.  As Executive Assistant, you will act as the primary day‐to‐day interface between the CEO and customers, investors, and contacts. You will demonstrate a high level of confidence running and managing an office at an executive administrative level. Your attention to detail is impeccable and you can handle employee, customer and investor interactions with the highest level of professionalism.   You are respected for your attention to detail and strong communication and organizational skills. Your ability to participate as a strong team player and your interest in doing “whatever it takes” to move the business ahead should be a key part of your acceptance of this role. 


    As Executive Assistant to the CEO you will be responsible for ensuring the smooth running of day-to-day demands and activities by supporting our CEO which include: 

    • Day-to-day administration and management of all areas of executive support
    • Ongoing scheduling of meetings, 1:1s, speaking engagements, client and investor meetings, etc.
    • Assist in the preparation of presentations, itineraries and coordinating of logistics
    • Creating expense reports using our travel management system
    • Plan key quarterly/yearly meetings including: Executive off-sites, Board Meetings, Annual Planning Meetings, Quarterly Business Reviews
    • Prepare board materials and manage board of director/investor interactions


    • Minimum four years executive support experience working in a growing fast paced organization
    • Highly professional, polished, reliable and strong self-starter with a "can do" attitude in addition to a flexible approach.
    • Extremely high level of discretion pertaining to confidential information
    • Proven experience preparing information to executives and Board of Directors
    • Self-starter attitude and enthusiasm when working independently and as part of a team
    • High sense of urgency, drive and willingness to do what it takes to get the job done
    • Keen ability to follow instructions and understand those instructions with little or no follow up
    • Ability to properly multi-task and prioritize work by considering its risk, importance, urgency, and potential business, organizational, or customer implications.
    • A sense of humor and ability to thrive in a fast paced and dynamic environment 
    • Bachelor’s degree
    • Advanced proficiency in Word, Excel and PowerPoint  


    • Experience working at a technology-focused company preferred
    • Experience working for a public company preferred
